Job Title: Floor Supervisor
Location: Orchard Park Assisted Living
Reports To: Resident Relations Coordinator

Position Overview:

The Floor Supervisor provides proactive, hands-on leadership and day-to-day operational oversight of Orchard Park’s resident floor. The position primarily supervises Resident Assistants (RAs), monitors resident care and documentation, conducts front-of-house new employee orientation, coordinates staffing coverage for RA and Medication Aide (MA) call-offs, and serves as a liaison between frontline staff and their respective managers. The Floor Supervisor is expected to identify routine operational issues, take initiative to resolve them, coach RAs in the moment, and follow through without repeated direction. The Floor Supervisor does not directly supervise, coach, discipline, or evaluate MAs; MA performance remains the responsibility of the Resident Care Coordinator. Current CNA and Medication Aide credentials are required.

Key Responsibilities:

Floor Leadership and Resident Care Oversight:

Maintain a visible presence on the resident floor, proactively identify concerns, and take appropriate action without waiting for routine issues to be brought to management.

Monitor RA workflow and assigned resident-care responsibilities, including call lights, showers, ECP tasks, documentation, and other care expectations; follow up directly when work is missed, incomplete, or inaccurate.

Provide hands-on resident-care assistance when needed to support safe and effective floor operations. Routine Housekeeping duties and resident outings/Activities programming are not primary responsibilities of this position.

Promptly report meaningful changes in resident condition, behavior, or baseline and other concerns requiring manager follow-up.

Staff Supervision and Coaching:

Provide day-to-day direction, support, and routine supervisory coaching to RAs while reinforcing Orchard Park policies, care standards, and established expectations.

Address routine performance issues in the moment, including missed care, improper shower completion, incomplete ECP charting, failure to follow RA checklists, and other observed concerns.

Document significant or recurring coaching in Paylocity when appropriate and escalate continued, serious, or formal performance concerns to the Resident Relations Coordinator.

Provide relevant observations for RA evaluations, corrective action, or termination decisions. Formal discipline and employment decisions remain with management/administration.

RA Checklists, ECP, and Daily Workflow:

Create, update, and maintain RA checklists and workflow tools based on expectations established with the Resident Relations Coordinator and monitor their day-to-day use.

Monitor ECP and assigned RA duties for completion and accurate documentation, and identify recurring workflow, care-completion, or documentation problems.

Work with the Lead RA as a training and competency resource when additional instruction, refresher training, or follow-up is needed.

New Employee Orientation and Training Coordination:

Conduct Orchard Park’s standardized front-of-house orientation for RAs, MAs, Housekeeping, Resident Services Aides, and other applicable front-of-house employees.

Provide an organized introduction to facility expectations, communication structure, resident-centered care standards, workplace policies, and applicable operational procedures.

Ensure required orientation topics and checklists are completed, identify training gaps, and communicate questions or concerns to the appropriate manager.

Coordinate transition to position-specific hands-on training. The Lead RA serves as the primary RA trainer and the Lead MA(s) serve as the primary MA trainers.

Scheduling and On-Call Shift Management:

Take primary responsibility for RA and MA call-off coverage while assigned on-call by contacting available staff, making reasonable day-to-day schedule adjustments, and utilizing agency when necessary.

Work reasonable internal staffing options before using agency when circumstances permit and do not place the primary responsibility for finding a replacement on the employee who calls off.

Make day-to-day RA and MA schedule changes within Paylocity as operationally needed. Escalate unresolved RA staffing concerns to the Resident Relations Coordinator and unresolved MA staffing concerns to the Resident Care Coordinator.

May voluntarily pick up open RA or MA shifts when available and appropriately credentialed, but is not expected to personally fill every vacancy or routinely work excessive overtime to solve staffing shortages.

Team Collaboration and Communication:

Serve as an operational liaison between frontline staff and management while maintaining clear departmental boundaries.

Report RA concerns directly to the Resident Relations Coordinator and communicate observed MA concerns to the Resident Care Coordinator as soon as reasonably possible. The Floor Supervisor does not independently coach, discipline, evaluate, or manage MAs.

Communicate cross-department resident-care concerns to the appropriate manager(s), including changes in resident condition, behavior, baseline, or completion of resident care.

Follow through on issues assigned by the Resident Relations Coordinator or Resident Care Coordinator and report back once the concern has been addressed or resolved.

Other Duties Assigned by Management:

Perform additional supervisory, staffing, resident-care, training, or operational tasks as assigned by management as facility needs require.

Support overall facility operations while maintaining appropriate role boundaries. Routine Housekeeping coverage, resident outings, and Activities programming remain assigned to the departments/positions responsible for those functions unless emergency circumstances require temporary assistance.

Requirements:
Qualifications and Core Competencies:

Current Nebraska CNA and Medication Aide credentials in good standing are required. Previous assisted living, supervisory, leadership, or staff-training experience is preferred.

Demonstrated initiative, resourcefulness, problem-solving, sound judgment, prioritization, and follow-through; recognizes what needs to be done and works toward practical solutions without repeated direction.

Ability to coach employees respectfully and directly, reinforce expectations, hold staff accountable, and communicate recurring concerns appropriately.

Strong organization, communication, training ability, teamwork, reliability, and leadership presence, including the ability to remain professional during staffing or resident-care challenges.

Ability to effectively use ECP, Paylocity, scheduling tools, and other applicable facility systems.

Ability to work approximately 40 hours per week on a flexible schedule that includes daytime, mid/evening, and rotating weekend coverage. Routine overnight shifts are not expected.

Schedule Requirements

This is a full-time position scheduled for approximately 40 hours per week. The Floor Supervisor must have flexibility to work a rotating schedule based on the operational needs of the facility. The typical schedule will primarily consist of daytime hours, with two mid/evening shifts (11:00am–7:00pm) each week to provide leadership coverage into the evening shift.

The position will also include rotating weekend coverage, generally consisting of one daytime weekend shift (8:00am–4:00pm) every other weekend, alternating between Saturdays and Sundays when possible.

This position also participates in the facility's on-call rotation/responsibilities and receives a $150 weekly on-call stipend.

Schedule flexibility is required. Hours may occasionally need to be adjusted based on staffing needs, resident needs, training, meetings, or other facility operations.
