Privacy Policy

1. Introduction
This Privacy Policy explains how Quick2Hire ("Quick2Hire," "we," "our," or "us") collects, uses, discloses, and protects personal information when you visit quick2hire.io (the "Site"), browse or apply to jobs on our job board, use our free tools, engage us as a client facility, or partner with us as a staffing agency (collectively, the "Services").
Quick2Hire provides per diem/PRN, local, travel, and permanent healthcare staffing, together with a public job board that lists both our own openings and roles sourced from client facilities, vendor management systems (VMS), and public job aggregators.
By using the Services you agree to the practices described in this policy. If you do not agree, please do not use the Services.
2. Information We Collect
A. Information you give us
- Candidate and application data: name, email address, phone number, postal address or work location preferences, résumé/CV, work history, education, skills, and the roles, shift types, and pay ranges you are looking for.
- Credentialing and compliance data: professional licences (including compact/multistate licence status), certifications, immunisation and health screening records, background check results, and right-to-work documentation, where these are required to place you in a role.
- Scheduling and assignment data: availability, submitted and confirmed shifts, timesheets, and assignment history.
- Client and partner data: for facilities and agency partners — contact names, business email addresses and phone numbers, company details, requisition details, and billing information.
- Communications: the content of emails, SMS/text messages, web forms, chat messages, and phone calls with our recruiters and support team, including call notes and, where permitted by law and disclosed to you at the time, call recordings.
B. Information we collect automatically
- Usage data: IP address, browser and device type, operating system, referring URL, pages viewed, searches run, and the jobs and tools you interact with.
- Cookies and similar technologies: including Google Analytics and advertising/conversion tags. See Section 8.
C. Information we receive from others
- Job sources: job listings and associated employer data ingested from client facilities, VMS platforms, and public job aggregators.
- Client facilities and agency partners: candidate submissions, interview outcomes, credentialing status, and assignment confirmations.
- Verification and screening providers: licence verification services, background check vendors, and reference checks, where you have authorised them.
- Third-party platforms: if you apply or message us through a job board, social network, or scheduling link, that platform passes us the information you chose to share.
D. Sensitive information
Some staffing roles require information that is treated as sensitive under certain privacy laws — for example health and immunisation records, or voluntary equal employment opportunity (EEO) self-identification such as race, ethnicity, gender, veteran status, or disability status. We collect this only where it is necessary to place you, to meet a client's or regulator's requirement, or where you volunteer it. EEO self-identification is always voluntary, is never used to make placement decisions, and is kept separate from your candidate profile. We do not use or disclose sensitive personal information for purposes other than those permitted under applicable law.
3. How We Use Your Information
- To provide staffing and job board services: matching you to open roles, submitting your profile to facilities and agency partners, coordinating interviews, and managing assignments and shifts.
- To verify credentials and eligibility: confirming licences, certifications, background screening, and compliance with client, state, and Joint Commission requirements.
- To communicate with you: responding to enquiries, sending application updates, shift offers, credential expiry reminders, and other transactional messages by email, SMS, or phone.
- To send job alerts and marketing: where you have signed up or where permitted by law, sending job alerts, newsletters, and service updates. You can unsubscribe at any time (Section 7).
- To operate and improve the Services: analytics, debugging, search relevance, fraud prevention, and site security.
- To meet legal and regulatory obligations: employment and payroll records, tax reporting, accreditation and audit requirements, and responding to lawful requests.
Our legal bases, where the UK/EU GDPR applies, are: performance of a contract (placing you in work), legitimate interests (running and improving the Services, and contacting healthcare professionals about relevant roles), consent (marketing, cookies, and sensitive data where required), and legal obligation.
4. How We Share Your Information
We do not sell your personal information. We share it only as follows:
- With client facilities and employers: when you apply to or are submitted for a role, your profile, résumé, credential status, and relevant screening information are shared with the facility or employer hiring for it. Their own privacy policies then also apply to that information.
- With agency partners: where a role is filled through a partner staffing agency, we share what that partner needs to submit and onboard you.
- With VMS and ATS platforms: to submit candidates against requisitions held in a client's vendor management or applicant tracking system.
- With service providers: cloud hosting, email and SMS delivery, analytics, payroll, background screening, and credential verification vendors, each bound to use the data only to provide services to us.
- For legal reasons: where required by law, subpoena, or regulator, or to protect the rights, property, or safety of Quick2Hire, our staff, our clients, or the public.
- In a business transfer: in connection with a merger, acquisition, financing, or sale of assets, subject to the protections in this policy.
5. Job Listings From Third-Party Sources
Our job board includes roles sourced from client facilities, VMS platforms, and public job aggregators alongside our own openings. When you apply to a role that originates elsewhere, your application is passed to the organisation responsible for that listing, and their handling of your data is governed by their privacy policy, not ours. We are not responsible for the accuracy of third-party listings or for the data practices of the organisations behind them.
6. Text Messaging (SMS)
If you give us your mobile number, we may send you SMS messages about applications, shift offers, credential reminders, and — where you have opted in — job alerts. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for assistance. Consent to receive marketing texts is never a condition of applying for or being placed in a role. We do not share mobile numbers with third parties for their own marketing.
7. Your Marketing Choices
Every marketing email we send includes an unsubscribe link, and you can manage your subscription preferences from that link at any time. Opting out of marketing does not stop transactional messages about an application, assignment, or credential that is already in progress.
8. Cookies and Analytics
We use cookies and similar technologies to keep the Site working, remember your preferences, measure traffic, and understand which pages and jobs perform well. This includes Google Analytics, which sets its own cookies and processes usage data on our behalf; you can opt out using the Google Analytics Opt-out Browser Add-on. Most browsers let you block or delete cookies, though parts of the Site may not work correctly if you do. We do not currently respond to browser "Do Not Track" signals, but we do honour recognised opt-out preference signals such as Global Privacy Control where required by law.
9. Data Retention
We keep candidate profiles and application data for as long as you have an active relationship with us and for a reasonable period afterwards so we can contact you about suitable future roles, unless you ask us to delete it. Payroll, tax, credentialing, and compliance records are retained for the periods required by employment, healthcare, and accreditation regulations. Client and partner records are retained for the life of the engagement plus any statutory limitation period.
10. Security
We use technical and organisational measures — including encryption in transit, access controls, and restricting credential data to staff who need it — to protect personal information against unauthorised access, loss, or disclosure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Your Privacy Rights
Depending on where you live, you may have some or all of the following rights:
- Access: to know what personal information we hold about you and how we use and share it.
- Correction: to have inaccurate or incomplete information corrected.
- Deletion: to have your personal information deleted, subject to records we must keep by law.
- Portability: to receive a copy of your information in a portable format.
- Opt out of sale or sharing: we do not sell or share personal information for cross-context behavioural advertising, so there is nothing to opt out of — but you may still submit a request.
- Limit use of sensitive information: to restrict our use of sensitive personal information to what is necessary to provide the Services.
- Non-discrimination: we will not deny you services, or offer you worse terms, for exercising any of these rights.
- Restriction, objection, and withdrawal of consent (UK/EU): including the right to object to processing based on legitimate interests and to withdraw consent at any time.
To exercise any of these rights, contact us using the details in Section 14. We will verify your identity before acting on a request and will respond within the timeframe required by applicable law. You may use an authorised agent where the law permits. If you are in the UK or EU, you also have the right to lodge a complaint with your local supervisory authority.
Where a facility or agency partner has received your information as an employer in its own right, requests to access or delete the copy they hold should be directed to them; we will assist where we can.
12. Children's Privacy
The Services are intended for people aged 18 and over. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us and we will delete it.
13. International Users
Quick2Hire is based in the United States and our Services are operated from there. If you access the Services from outside the United States, your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country. Where required, we use appropriate safeguards such as standard contractual clauses for transfers from the UK and EU.

15. Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices, technology, or legal obligations. We will revise the "Last updated" date at the top of this page and, where the changes are material, give notice by email or a prominent notice on the Site. Your continued use of the Services after an update means you accept the revised policy.
