About This Position
About the Role
Doctor Sara Clinic is a busy practice, and our front desk is where trust is built or lost. Before a patient ever sees the doctor, they see you — and how you handle their check-in, their schedule, and yes, their bill, shapes whether they trust us enough to keep coming back and get better.
This is not a slow-paced office. Phones, check-ins, scheduling, and payments happen at the same time, and the details have to be right. But it's also not a job where you can hide behind a screen — you'll be having real, sometimes uncomfortable conversations with patients about insurance and money, and doing it in a way that leaves them feeling respected, not judged.
If you're fast, accurate, genuinely warm with people, and not afraid of a hard conversation, keep reading.
What You'll Do Daily
Open and close the office
Check patients in and out efficiently
Schedule appointments and manage the day's flow using SKED and ChiroTouch
Set up new patients — accurate data entry and insurance verification
Process payments and have direct conversations with patients about co-pays and balances
Handle health insurance verification, billing questions, and personal injury (PI) case documentation and follow-up
Answer phones, texts, and emails promptly
Assist with patient therapies
Field patient questions and concerns with professionalism and warmth, even when the conversation is hard
You're the Right Fit If…
You genuinely care about people — patients are the reason we exist, and our standards are high
You don't avoid a hard conversation about money or insurance — you just handle it with care
You don't get flustered when the phone's ringing, someone's checking in, and a text comes in at the same time — you know how to prioritize without dropping the ball
You catch your own mistakes before anyone else does — accuracy is a standard you hold yourself to, not something you're working on
You learn new software quickly and don't need to be shown the same thing twice
You show up, reliably, on time, every day — consistency here is non-negotiable
You keep your workspace neat without being asked
You're generally positive and pull your weight on a team that does the same
Qualifications
Full-time availability, Monday–Friday, in person (no remote option) — required
Front desk, customer service, or healthcare experience helpful — we'll train the right person
Bilingual in Spanish and English strongly preferred
Comfortable in a busy, fast-moving office
